Job Title: Lead Pastor’s Assistant/Financial Secretary

Hours: Full Time, exempt

Direct report to: Lead Pastor

Secondary report: Executive Pastor


Weekly Schedule: Monday through Thursday 8:30 am to 5:00 pm (with occasional exceptions depending on Lead Pastor’s schedule or appointments).

 

Lead Pastor’s Assistant Responsibilities

  • Manage the Lead Pastor’s calendar for appointments, meetings, and travel.

  • Incorporate church meetings and event in Lead Pastor’s calendar, noting which events or meetings he should attend noting potential or existing conflicts.

  • Provide administrative support to the Lead Pastor (including email and print correspondence, phone calls, reports, files, room scheduling, etc.)

  • Coordinate and organize daily office activities and operations and direct the workflow within the Lead Pastor’s office, as appropriate to minimize the demands on the Lead Pastor.

  • Provide support to the Lead Pastor in the work of church committees; coordinate committee meetings and collect necessary ministry reports ahead of meetings.

  • Provide hospitality support, arrange meals, accommodations, and logistics for meetings, events, guests, and programs hosted by the Lead Pastor.

  • Perform confidential tasks and special projects as needed.

  • Provide Lead Pastor with monthly church financial reports.

  • Act as liaison between Lead Pastor and church staff.

  • Inform Lead Pastor of any pastoral care matters that require his attention.

  • Maintain and administer Pastor’s Discretionary Fund.

  • Oversee benevolence on Lead Pastor’s behalf.

  • Be present in office during Lead Pastor’s appointments.

  • On call for church-related meetings, Lead Pastor needs, or emergencies.

  • Supervise Receptionist/Membership Secretary


Financial Secretary Responsibilities

  • Under dual control, secure weekly offerings and document all totals on the Christ Church “Count Sheet.”

  • Prepare bank contribution deposit each Monday and additional deposits as needed.

  • Enter contributions into database, copy checks, and run fund summary report.

  • Prepare and send acknowledgements of gifts in honor or memory of a person in the congregation. Record those gifts for the family of memorial gifts.

  • Provide financial data and reports to pastors and Finance Chair as needed.

  • Assist with annual budgeting process.

  • Be available to donors to answer questions regarding contribution statements.

  • Prepare annual reports to Charge Conference.

  • Email reminders to Finance Committee regarding upcoming meetings and provide copies of reports for meetings.

  • Attend quarterly Finance Committee meeting.

  • Send quarterly statements of donations with letter from the Lead Pastor.

 

Qualifications

  • Minimum high school diploma; college degree in business or administration preferred.

  • Two or more years of experience in an executive assistant or similar position.

  • Database and computer software systems experience.

  • Strong language and communication skills.

  • Trustworthy and able to maintain confidentiality.

  • Strong organizational skills.

  • Must work well with team

  • Strong relational skill and capacity

  • Flexibility for occasional evening and weekend responsibilities.

 

Compensation commensurate with education and experience.


The Lead Pastor’s Assistant/Financial Secretary position is considered a ministerial role and is expected to perform functions that exercise and express the religious character and mission of Christ Church Birmingham. As part of this role, the Lead Pastor’s Assistant/Financial Secretary will be required to adhere to Christ Church Birmingham’s statement of faith in lifestyle and conduct and will be expected to regularly engage in activities in which the employee’s belief in and adherence to Christ Church Birmingham’s statement of faith are an integral part.
